What Veproks collects, how it is handled, and who is responsible for it.

Who we are

Veproks is a workforce management product operated by Kamtelashe L.L.C. Companies use Veproks to record the working time of their employees, assign tasks and manage leave. This policy explains what the Veproks apps collect, why they collect it, and who you contact about it. Veproks is a tool for the workplace and is not intended for children. Who is responsible for your data

If you use Veproks as an employee, it is your employer who decides that Veproks is used, which data is collected and how long it is kept. Your employer is therefore the data controller. Kamtelashe L.L.C. runs the software on the employer's behalf and processes employee data only on the employer's instructions, which makes us the processor. In practice this means that questions about your records, and requests to see, correct or delete your data, go to your employer first β€” your HR department, or the person who administers Veproks in your company. What the app collects

The Veproks employee app collects only what it needs to do its job:

  • Username and company code β€” used to sign you in and to link your account to your employer's company.
  • Identity and contact details β€” your first and last name, email address, phone number, profile photo, job position and hire date. These identify you within your employer's organisation and let your employer's administrators manage your account.
  • Employment and leave details β€” your annual leave entitlement, your remaining leave balance, and the pay figures your employer records for you, such as your hourly rate and any advances. The app shows you your own leave balance; these figures are administered by your employer.
  • Payroll, banking and tax details β€” your salary, the bank details your employer holds in order to pay you (IBAN, bank name and account holder), your national identification and tax numbers, and the emergency contact name and phone number your employer records for you. This data originates from your employer, who enters it and controls it.
  • Location: latitude, longitude, accuracy and the time of the reading β€” used only to check whether you are inside the work area your employer registered, at the moment you check in or out. The app reads location only while it is open on your screen.
  • Task photos β€” the photos you attach to a task as proof that the work was done.
  • Device identifiers β€” the notification identifier your device provides so that notifications can be delivered to it, and a device id stored to associate your account with the device you use.
  • Language preference β€” the language you choose, so that the app and the notifications you receive appear in that language.
  • Check-in and check-out records and leave requests β€” the core function of the product. They are stored so that your employer can see attendance and decide on leave.

What the app does not collect

There are things Veproks deliberately does not do:

  • It does not track your location in the background. When the app is closed or not on screen, it does not read your location.
  • It does not use advertising identifiers, and it contains no advertising or ad tracking.
  • It does not access your contacts, your calendar or your microphone.
  • We do not sell personal data and we do not share it for advertising.

Who else processes the data

We use a small number of service providers to run Veproks. They process data only in order to provide these functions:

  • Supabase β€” hosting, database and authentication.
  • Google Firebase Cloud Messaging β€” delivering notifications to your device.
  • Google Maps β€” displaying the map inside the app.

How long the data is kept

Data is kept while your employer's Veproks subscription is active, and for the retention period your employer sets. When the subscription ends, the data is deleted. Your employer may be required by law β€” payroll or labour rules, for example β€” to keep certain records for longer; that decision belongs to your employer as the controller.

Your rights

You can ask for access to your personal data, ask for it to be corrected or deleted, and object to the way it is processed. Because your employer is the controller, send your request to your employer first. If it is not resolved there, write to info@kamtelashe.com and we will act on the controller's instructions to help. Changes to this policy

If this policy changes, we publish the new version on this page and update the effective date at the top. We tell the companies that use Veproks about significant changes.
